How I Manage It All Without Burning Out

Full-time engineer + fitness 6x/week + side projects + learning + social life. Here’s the system.

The Foundation: Time Blocking

My Weekly Template:

06:00 - 07:00: Deep work (side projects)
07:00 - 07:30: Workout
07:30 - 08:00: Breakfast + shower
08:00 - 12:00: Work (most important tasks)
12:00 - 12:30: Lunch
12:30 - 17:00: Work (meetings, collaboration)
17:00 - 18:00: Learning (courses, reading)
18:00 - 19:00: Dinner
19:00 - 21:00: Personal projects / social
21:00 - 22:00: Wind down, read, plan tomorrow
22:00: Sleep

Total Productive Hours: 12-14/day Secret: Not all hours are equal

Energy Management > Time Management

Energy Levels Throughout Day:

  • Peak: 6 AM - 12 PM (80-100% capacity)
  • Moderate: 12 PM - 5 PM (60-80%)
  • Low: 5 PM - 9 PM (40-60%)

Task Allocation:

  • Peak hours: Deep work (coding, writing, learning)
  • Moderate: Meetings, emails, lighter tasks
  • Low: Admin, planning, personal stuff

The Productivity Stack

Tools I Actually Use:

Task Management:

  • Notion: Second brain, projects, notes
  • Todoist: Daily tasks, recurring items
  • Google Calendar: Time blocks, meetings

Focus:

  • Forest App: Pomodoro with gamification
  • Freedom: Block distracting sites/apps
  • Noise-canceling headphones: Flow state trigger

Learning:

  • Readwise: Highlight sync from Kindle
  • Obsidian: Zettelkasten note-taking
  • Anki: Spaced repetition flashcards

Habits:

  • Streaks App: Track daily habits
  • Apple Health: Aggregate all data
  • Whoop: HRV, sleep, recovery tracking

The Morning Routine (Game Changer)

5:30 AM Wake:

  1. No phone for 30 min (prevents reactive mode)
  2. Hydrate: 16 oz water + electrolytes
  3. Plan day: Review calendar, set top 3 priorities
  4. Deep work: Most important task (side project, learning)
  5. Workout: Weights or HIIT
  6. Fuel: High-protein breakfast

Result: 3-4 hours of focused work before 9 AM

This alone = 15-20 hours/week of extra productivity

The MIT Method (Most Important Tasks)

Every Day, I Choose 3 MITs:

Work MIT:

  • “Complete API integration for payment service”

Personal MIT:

  • “Write 1,000 words for blog post”

Health MIT:

  • “Complete leg day workout”

Rule: Don’t sleep until all 3 are done

This simple system ensures progress on all life areas daily.

Deep Work Protocol

Based on Cal Newport’s Deep Work:

4 Hours Daily Deep Work:

  • 6:00-8:00 AM: Side projects (2 hours)
  • 8:00-12:00 PM: Work deep tasks (4 hours max)

Rules:

  1. No phone: Airplane mode or different room
  2. No notifications: Everything off
  3. No multitasking: One task, full focus
  4. Time blocks: 90-120 min sessions
  5. Breaks: 10-15 min between sessions

Quality > Quantity:

  • 4 hours deep work > 10 hours shallow work
  • More done, less time, better results

The Weekly Review (Every Sunday)

1 Hour to Plan the Week:

Step 1: Review Last Week (15 min)

  • What went well?
  • What didn’t?
  • Lessons learned?

Step 2: Set Goals (15 min)

  • Work: Key deliverables
  • Personal: Projects, learning
  • Health: Workouts, nutrition
  • Social: Plans with friends/family

Step 3: Time Block (20 min)

  • Map out week in calendar
  • Book deep work blocks
  • Schedule workouts
  • Plan social time

Step 4: Prepare (10 min)

  • Meal prep Sunday
  • Lay out gym clothes
  • Queue up learning resources

Saying No (The Superpower)

Before: Yes to everything → Overwhelmed, burned out

Now: Strategic no → Focused, effective

My Filter Questions:

  1. Does this align with my goals?
  2. Am I excited about this?
  3. Would I regret not doing this?
  4. What am I saying no to by saying yes?

If <3 yes: It’s a no.

Result: 80% less commitments, 300% better results

Habit Stacking

Instead of New Habits, Stack on Existing:

Morning Stack:

  1. Wake → Make bed (existing)
  2. Make bed → Drink water (new)
  3. Drink water → Review goals (new)
  4. Review goals → Deep work (new)

Evening Stack:

  1. Dinner → Plan tomorrow (new)
  2. Plan tomorrow → Read 30 min (new)
  3. Read → Gratitude journal (new)
  4. Journal → Sleep

Why It Works: Triggers automatic, less willpower needed

Eliminating Decision Fatigue

Decisions I Don’t Make Anymore:

Wardrobe: 5 identical outfits (Steve Jobs style)

  • Monday-Friday: Same style, minimal thinking

Meals: Meal prep Sunday

  • Same breakfast (eggs + oats)
  • Same lunches (chicken + rice)
  • Rotate 3 dinners

Workouts: Fixed schedule

  • Monday: Upper power
  • Tuesday: Lower power
  • Wednesday: HIIT
  • Thursday: Upper hypertrophy
  • Friday: Lower hypertrophy
  • Weekend: Active recovery

Result: Save 2-3 hours/week on decisions

The Digital Minimalism Rules

Phone:

  • Grayscale mode (reduces dopamine)
  • No social media apps (web only, desktop only)
  • Do Not Disturb: 6 PM - 8 AM
  • App limits: <30 min/day for time-wasters

Computer:

  • Freedom app blocks sites during work
  • News/social media: Scheduled 30 min only
  • Email: Check 2Ă— daily (10 AM, 4 PM)
  • Slack: Notifications off, check hourly

Result: Reclaimed 15-20 hours/week

The Anti-Burnout System

Work Hard, Recover Harder:

Daily Recovery:

  • 10 min meditation (Headspace)
  • 7-8 hours sleep (non-negotiable)
  • 10k steps minimum
  • Sunlight exposure (30 min)

Weekly Recovery:

  • 1 complete rest day (no work, no gym)
  • Social time (friends/family)
  • Hobby (guitar, gaming, whatever)
  • Nature walk (no phone, just thinking)

Monthly Recovery:

  • 3-day weekend trip
  • No work email/Slack
  • Complete disconnect
  • Recharge fully

Result: Sustainable high performance, zero burnout

Tracking Everything

What Gets Measured Gets Managed:

Daily Tracking:

  • Sleep quality (Whoop)
  • Workout completed (Y/N)
  • Deep work hours
  • MITs completed (3/3 target)
  • Calories/macros (MyFitnessPal)
  • Steps (Apple Health)

Weekly Review:

  • Total deep work hours
  • Goals completed
  • Habits maintained
  • Weight trend
  • HRV average

Monthly Analysis:

  • Progress photos
  • Strength PRs
  • Project milestones
  • Income growth
  • Overall satisfaction (1-10)

My Actual Results

Before System (2 years ago):

  • Worked 50+ hours, accomplished little
  • Skipped workouts 50% of time
  • No side projects
  • Constant stress
  • Poor sleep

After System (Now):

  • 40 hours work, 2Ă— productivity
  • Workout 6Ă— weekly (99% consistency)
  • Shipped 3 side projects
  • Minimal stress
  • 8 hours sleep nightly

The Difference: Systems > motivation

Common Productivity Myths

❌ Work more hours = More results ✅ Deep work quality = Better results

❌ Hustle 24/7 = Success ✅ Strategic rest = Sustainable success

❌ Multitask everything = Efficient ✅ Single-task focus = Effective

❌ Say yes to everything = Opportunities ✅ Say no strategically = Real progress

❌ Willpower fixes all = Discipline ✅ Systems remove need for willpower

The Bottom Line

Productivity Formula:

  1. Time block your week (protect deep work)
  2. Energy management (peak hours = important tasks)
  3. Daily MITs (3 must-do tasks)
  4. Morning routine (win before 9 AM)
  5. Say no strategically (focus)
  6. Track everything (data drives decisions)
  7. Recover hard (prevent burnout)

It’s not about doing more. It’s about doing what matters.

Start with one system. Master it. Add another. Compound over time.
